Job purpose

 

The Senior Event Planner will be responsible for the planning, development and execution of various Association meeting and events including conferences, board meeting, and tradeshows. National travel is required.  Candidate must be able to multi-task while always providing top customer service. 


Event management duties will include sourcing, site selection, contract negotiation, event project planning, registration, housing, communications (internal and external), F&B management, budgeting, space planning, RFP responses, full incentive planning, creative and execution. 


This position will report into the Vice President of Events, Chief of Staff.

 

Duties and responsibilities

  • Site search and planning visit, selection, contract negotiation
  • Registration utilizing Swoogo or other registration system
  • Housing and/or management of housing staff, includes working with hotel
  • Food and Beverage and/or management of F&B staff, onsite and offsite events
  • Virtual & Hybrid platforms
  • Work with production team to effectively source and order A/V needs
  • Liaise with hotel on room sets, capacity, set up, etc.
  • Offsite events
  • Ground transportation
  • Budgeting and reconciliation
  • RFPs – Creation and review
  • Communication to attendees, stakeholders
  • Other duties as assigned

 

 

Qualifications

  • Proven experience as an event manager with audiences ranging from 20 – 5,000+
  • Skilled in project management
  • Computer savvy; proficient in MS Office, Excel, PowerPoint
  • Outstanding communication and negotiation ability
  • Excellent organizational skills
  • A knack for problem-solving
  • Customer-service orientation
  • A team player with strong leadership skills
  • Ability to be productive outside of an office environment
  • Creative thinking to plan and execute memorable experiences
  • Mastery of logistics
  • Ability to multi-task


Working conditions

The Senior Meeting Planner will have national travel for events.  They will have overnight stays and some weekend work.


This is a remote based position
